What is rent arrears software?

Rent arrears software is the part of a property management system that tells you who owes rent, how much and for how long, and then helps you recover it without breaking the law. It does four jobs. It keeps a live balance for every tenancy against the rent charged. It ages the debt, so a tenant one week behind is handled differently from one three months behind. It prompts the tenant with reminders and gives them a way to pay. And when informal steps fail, it records the formal process: the notices, the dates and the evidence a tribunal or court will ask for. What rent arrears software should do

Most arrears never become disputes. They become disputes because nobody noticed in time, or because the reminder went out a fortnight late. Good arrears software closes that gap before it turns into a legal question. Judge any system, ours included, on six things. Does it show the arrears position across the whole portfolio on one screen, rather than property by property? Does it age the debt, so your team spends its time on the balances that are growing? Do reminders go out on a schedule without someone having to remember? Can the tenant pay the moment they read the reminder? When the formal route starts, does the system hold the steps, the documents and the dates in one place? And can you export the evidence for a landlord, a board, the RTB or a court? A spreadsheet can answer the first question. It struggles with the other five.

Handling rent arrears lawfully in Ireland and England

Both countries set the arrears process in statute, and a mistake in the notice usually means starting again. This is a short summary of the current rules, not legal advice.

Ireland

The RTB rent arrears process

A landlord in Ireland cannot go straight to a Notice of Termination for unpaid rent. The Residential Tenancies Board sets out the steps. First, serve a rent arrears warning notice that states the amount owed and gives the tenant at least 28 days to pay. The notice goes to the tenant and a copy goes to the RTB, which accepts it by email, and the 28 days only start once both have received it. Second, if the arrears are still unpaid after 28 days, the landlord can serve a Notice of Termination giving 28 days' notice. Third, a copy of that Notice of Termination must reach the RTB within 7 days of the date it was served on the tenant, or the notice is invalid. The tenant then has 28 days, rather than the usual 90, to dispute it. Rent arrears remain a valid reason to end a tenancy created before or after 1 March 2026, for landlords of every size.

England

Section 8 and Grounds 8, 10 and 11

Since 1 May 2026, when Part 1 of the Renters' Rights Act 2025 came into force, a private landlord in England can only seek possession with a section 8 notice on Form 3A. Section 21 can no longer be used. Three grounds deal with rent. Ground 8 is mandatory: the tenant must owe at least 3 months' rent if rent is paid monthly, or 13 weeks' rent if it is paid weekly or fortnightly, both on the day notice is given and at the date of the hearing. The notice period is 4 weeks. A tenant who owes that amount only because their Universal Credit has not been paid cannot be evicted on this ground. Ground 10 (any arrears) and Ground 11 (persistent late payment) are discretionary, also with 4 weeks' notice, so the court decides whether possession is reasonable. For assured tenancies of social housing let by private registered providers, these changes apply from 2027.

Scotland, Wales and Northern Ireland run their own tenancy regimes and are not covered by this summary. Getting the rent itself right comes first: arrears are only as accurate as the rent they are measured against, which is why lawful increases matter. See rent review software.

Rentalize Core is built for organisations managing roughly 50 to 5,000 units in Ireland and the UK, where arrears are a weekly operational job rather than an occasional problem. At that size the pressure is the same whoever you are: balances spread across many tenancies and several people, reminders that depend on someone remembering, and a formal process that has to be followed exactly when it starts. Enterprise is priced to your portfolio with no property or staff limits. What is rent arrears software?

Rent arrears software tracks the balance on every tenancy against the rent charged, shows which tenants are behind and by how long, sends reminders, lets tenants pay online, and records the formal process if a balance is not cleared. In Rentalize, arrears reports and aged-debt insights are on every plan, and arrears case management is on Professional and Enterprise.

How do you deal with rent arrears in Ireland?

Serve a rent arrears warning notice stating the amount owed and giving at least 28 days to pay, and send a copy to the RTB. The 28 days start once both the tenant and the RTB have received it. If the rent is still unpaid, serve a Notice of Termination giving 28 days' notice and send the RTB a copy within 7 days of serving it, or the notice is invalid. The tenant has 28 days to dispute it. How much rent arrears before eviction in England?

For the mandatory Ground 8, at least 3 months' rent if rent is paid monthly, or 13 weeks' rent if paid weekly or fortnightly, both when notice is given and at the hearing, with 4 weeks' notice on a section 8 notice (Form 3A). Can tenants pay their arrears online?

Yes. On every plan tenants can pay rent online in the tenant portal by card or PayPal and download receipts from their payment history. From Growth, tenants can also set up recurring Direct Debit and save payment methods. See Rentalize Pay.

How is this different from an accounting package or a spreadsheet?

Accounting packages record what was paid, spreadsheets hold a list, and standalone collection tools send reminders. Each does one part well. A property management system holds the tenancy, the rent charge, the payment, the reminder and the arrears case in the same record, so the arrears figure and the evidence behind it never have to be reconciled by hand. Rentalize also syncs with Xero on Growth and above if your accounts live there.

Does it work for a portfolio in both Ireland and the UK?

Yes. Irish and UK regulatory thresholds are configurable on every plan, and on Professional and Enterprise the arrears case types are jurisdiction-aware, so an Irish tenancy follows the Irish checklist and a UK tenancy follows the UK one, from the same system.
